Your business has grown. Your systems haven't.

Leads slip through. Your team types the same information into three places. You find out what happened last week by asking around. We help service businesses with 5–30 people find where work is getting stuck and fix it, using the tools you already have wherever possible.

Free, 30 minutes. You leave with a list of what we'd fix first.

Tools we work in every day

Where growing service businesses lose time and money.

None of these show up on a P&L as a line item. They show up as missed revenue, overtime, and an owner who can't step away.

  • Leads go cold

Inquiries sit in an inbox, a voicemail, or a web form nobody checks until tomorrow. By then they've called someone else.

  • Quotes never get a follow-up

Estimates and proposals go out and nobody circles back. Some of those were a yes that just needed a nudge.

  • Your team retypes everything

The same customer details get entered into the CRM, the scheduling tool, the invoice, and a spreadsheet.

  • Tools that don't talk to each other

You pay for five apps, and people still copy and paste between them all day.

  • Handoffs drop the ball

Something gets promised at the sale, the people doing the work never hear about it, and the customer notices.

  • No clear view of the numbers

Answering “how did we do this month?” means pulling reports by hand. Or guessing.

Less manual work. Fewer missed opportunities. Better systems.

Most operations problems fall into one of three buckets. The work is figuring out which ones cost you the most, then fixing those first.

01

Stop losing opportunities

Every inquiry gets a fast answer, and nothing falls through the cracks.

  • Lead intake and routing to the right person
  • Fast first response by text and email
  • Quote and estimate follow-up
  • Reactivating past customers and old leads
  • Reminders, check-ins, and review requests

02

Reduce manual work

Take the repetitive work off your team's plate so they can spend time on customers.

  • Forms that fill in your systems automatically
  • Client onboarding steps that run on their own
  • Notifications and internal alerts
  • Repetitive emails and texts
  • Moving information between systems without copy and paste

03

Build better systems

A structure that still works when you add the next five people.

  • CRM setup and cleanup
  • Clear workflows and handoffs between people
  • Connecting the tools you already pay for
  • Reporting and dashboards you'll actually check
  • Simple SOPs your team can follow

We use CRMs, automation tools like Zapier, Make, and n8n, and AI where it genuinely saves time.

Technology is how we fix things. It isn't the product.

We start with how work actually moves through your business. Sometimes the fix is a clearer process or a better setup of software you already own, not something new.

Start small. Keep what works.

Three steps, each one optional. Fixed prices agreed up front. No hourly billing, no surprise invoices.

Operations people who understand technology.

ClearpathOps is led by Rafael Vásquez, who has spent more than 10 years running operations in financial services, events, contracting, and service businesses. Today he leads revenue operations for a NYC financing firm: the CRM, lead routing, dialers, follow-up, and reporting behind a sales team.

We bring that same practical approach to smaller businesses. You work with Rafael directly, from the first call to the handoff.

Straight answers.

What happens on the free Ops Review?

It's a 30-minute video call. You walk us through how leads, jobs, and information move through your business today. We tell you where we see the biggest leaks and what we'd fix first. You keep that list whether or not we work together.

What does an Operations Cleanup Sprint cost?

Most sprints start around $2,500. After the Ops Review we send a fixed price and a written scope before any work starts. No hourly billing and no surprise invoices.

Do I need to buy new software?

Usually not. We start with what you already pay for. If a tool is genuinely the problem, we'll tell you what we'd switch to, why, and what it costs.

Is this an AI or automation agency?

No. We're operations people. We use automation, AI, and integrations when they're the right tool for a specific problem. Sometimes the right fix is a clearer process, not more software.

Who will I actually work with?

Rafael, directly. ClearpathOps is a small, senior shop on purpose, so the person on your first call is the person fixing things. Everything we build lives in your accounts and is documented, so you're never dependent on us to keep it running.

How much of my time does it take?

Usually a kickoff conversation, access to your tools, and short check-ins while we build. We handle the setup and testing, then walk your team through it.
